Accounts Receivable Specialist



The Account Receivable Specialist collaborates closely with Logistics, Inventory Control, and the Sales team and 3rd party freight forwarders to ensure that all product shipments as well as any product claims are billed and tracked.  The position requires frequent interaction with customers and as such we require the strictest level of professionalism.  This position uses current accounting technology to record payments to customer accounts, and maintains accounts receivable records as well as performing ad hoc reports and continual reconciliation.


Essential Functions:

  • Prepares cash deposits, copying and scanning of all documents;
  • Enters cash receipts and updates accounts receivable ledger by customer;
  • Works closely with the Sales department to ensure customer’s accounts are kept updated;
  • Obtains and mails invoice copies for customers, as requested;
  • Researches unidentified/ambiguous payments and credits;
  • Researches and processes customer claims of invoice payments;
  • Researches and processes charge backs, returns, and bad checks;
  • Corrects customer account discrepancies;
  • Answers accounts receivable phone inquiries and follows up;
  • Maintains online files;
  • Creates and distributes weekly reports;
  • Performs account balancing and month end reporting;
  • Ability to work under pressure and meet deadlines;
  • Ability to work with international customers including responsiveness in light of time differences;
  • Other duties as assigned;




Education & Experience:

Bachelor’s degree in Business preferred or equivalent experience;

Minimum of 4 years Accounts Receivable experience;

Intermediate to advanced Excel knowledge required;

Intermediate Sharepoint knowledge required

Tableau knowledge preferred;

Sage/MAS knowledge preferred;

Ability to deal with problems involving a few concrete variables in standardized situations.

Physical Demands:

While performing the duties of this Job, the employee is regularly required to sit; use hands to finger, handle, or feel and talk or hear. The employee is occasionally required to stand; walk; reach with hands and arms and stoop, kneel, crouch, or crawl. The employee must occasionally lift and/or move up to 25 pounds.
