  • Overview

    Silver Bay Seafoods is opening a new state of the art processing facility in False Pass, AK in 2019. Our False Pass location will process salmon as well as white fish and will begin operations during the 2019 salmon season. We are currently looking for an Office Manager that will work to develop the facility and assist in making it the shining star of Silver Bay Seafoods.


    Travel to the facility provided as well as housing and food while working at the facility.


    The incumbent may be responsible for the following duties, but not limited to:


    Fish Tickets

    • Collect Tender Packets containing fish tickets from offloading tenders;
    • Audit all weight records, fish tickets, and tender tallies within the Tender Packets;
    • Correctly enter the fish ticket information into the Parity Fish Ticket system within 24 hours of the tender offload;
    • Submit carbon copies of fish tickets to appropriate Alaska Department of Fish and Game within a week of the purchase date stated on the fish ticket;
    • Submit all original copies of fish tickets to corporate office;
    • Maintain copies of all fish tickets at the plant;
    • Generate requested reports from the fish ticket system;


    General Accounting

    • Control and accurately account for all petty cash;
    • Maintain facility check log;
    • Monitor all plant credit cards charges and associated paperwork;
    • Submit monthly accounting spreadsheets and back up data for petty cash, checks, credit cards, and apparel to Corporate Offices


    Production Reports

    • Prepares daily production reports
    • Tracks budget and reports budget variances
    • Tracks production costs
    • Maintains Tableau system


    Regulatory Requirements

    • Ensure that all business permits and licenses are current;
    • Supervisory
    • Whenever applicable, the incumbent assigns clerical functions to the receptionist.
    • Supervises, evaluates and manages the performance of the receptionist.


    Other Major Responsibilities

    • Establish office standards and procedures;
    • Organize office operations and procedures;
    • Control correspondence;
    • Create and design office forms;
    • Update company contacts;
    • Maintain vehicle information and documentation, and ensures vehicle registration and insurance are current;
    • Design filing systems, with the exception of personnel files,
    • Ensure filing systems are maintained and up-to-date;
    • Define procedures for record retention;
    • Ensure protection and security of files and records;
    • Ensure effective transfer of files and records between departments and facilities;
    • Ensure confidentiality of company correspondence and records;
    • Perform other related duties as required.


    Human Resources

    • Works closely with HR managers and specialists to understand HR practices in the event of HR absence
    • The office manager does not directly supervise the HR specialist but serves as a double check to ensure tasks are on target and on time.

    Ability to generate, read and comprehend basic instructions.  Ability to effectively present information in one-on-one and group situations to crew members, and other employees of Silver Bay Seafoods. Ability to perform basic mathematical functions using units of American currency, weight measurement, volume, and distance.


    The Office Manager is frequently required to set an example by consistently modeling high standards of honesty and integrity.     Physical Demands:


    The Office Manager must be 18 years or older and be authorized to legally work in the United States.


    While performing the duties of this job, the employee is regularly required to sit, use hands to finger, handle, or feel and talk or hear. The employee is regularly required to stand, walk, reach with hands and arms, stoop, kneel, crouch or crawl. The employee must occasionally lift and/or move up to 50 pounds.


    Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and the ability to adjust focus.


    Mental Activities:


    The Office Manager needs the ability to multitask in a high demand environment. Focus and concentration on numbers, reports and associated details are critical. The employee needs to be able to discern details on projects, spreadsheets, etc. The employee needs to regularly demonstrate attention to detail and the ability to demonstrate understanding of reports as well as the ability to draw appropriate conclusion from the data. The employee is required to use creativity, problem solving, independent judgment and discretion.



    Work Environment:


    The Office Manager will spend long hours sitting and using office equipment and computers. The incumbent is located in a busy office area and is faced with constant interruptions and must meet with different kinds of people on a regular basis. The OfficeManager may be required to make trips to and from town driving a company vehicle.
